Upcoming Board Election
Effective December 31, 2021, the current BWCA President and Treasurer plan to vacate their positions. On Monday, December 13, 2021 at 7:30 pm the Board will meet via Zoom to elect two individuals to fill the unexpired terms of the vacating board members (through the end of 2022). To be a Board Member you must be an association member in good standing (your household must have paid its annual dues for this fiscal year).
On Monday, November 29 at 7:30 pm, the Board will hold an information session for prospective new board members via Zoom. The goal of the information session is for anyone interested in serving on the Board to learn more about board service and the open positions. All community members are invited and encouraged to attend both meetings. A summary of the President and Treasurer positions follows:
President
The president shall preside over all the meetings of the association. The president shall be responsible for creating a meeting agenda and assuring that the meeting is run accordingly. The president is responsible for communicating the philosophy and actions of the board to the residents. The BWCA charter is included at the end of this newsletter. The charter defines the purpose of the association and the role of the board and includes descriptions of each of the board positions.
Treasurer
The treasurer shall have the custody of the funds and securities of the association, which may be ordered by the Board members. The treasurer shall deposit funds of the association to its credit in such banks and depositories as the Board may designate. The treasurer shall submit to the members at the annual meeting a statement of the financial condition of the association, and whenever required by the Board. The treasurer shall submit a budget to the board no later than the second meeting of each fiscal year. The treasurer shall perform such other duties as may be assigned by the Board.
Additional Information Regarding Vacant Board Positions
Brookside Woods is actively recruiting for several Brookside Woods Civic Association board positions. Serving on the board offers the opportunity to rapidly network within our neighborhood, while supporting our wonderful community. For 2022, several positions will be opened as current board members either shift or retire from their current positions. We are actively exploring fresh perspectives to serve in the positions of President, Vice President and Treasurer. If no one steps up to become president, the current vice president will assume the position for the next year. If a new president is elected, the current vice president will remain in that position. Key responsibilities for these positions:

Vice President: The vice president shall attend all Northwest Coalition meetings and any other outside meetings as approved by the board. After serving for one year as vice president, the vice president shall serve the second year of their term as president and a new vice president shall be elected.
Treasurer: The treasurer is responsible for launching annual dues campaign and tracking due collections, issuing checks for board approved expenses, and keeping up to date financial records.

Detailed Treasurer Position Responsibilities
Jan: Lead electronic dues campaign in month of January. Create an electronic engagement plan to remind community to pay annual dues. This may include an email push, writeup in Brookside Lore and posts on Facebook. Time commitment: ~1 hour / 1 time
Feb: Paper dues campaign. Print letter to community, create mail merge and stuff envelopes. Only send to household that have not already paid annual dues. Time commitment: ~3 hours (mostly, folding and stuffing envelopes) / 1 time
Jan-April: Heavy collection month. Plan about 1 hour a week during first few months, need to empty PO box often during this time frame.
Electronic payments are pushed 1/ month by Fumi directly into Brookside Woods Account. Work with Fumi for excel file to cross reference by address against due payment file.
Checks are collected at house and PO box. Cross reference addresses against due payment file.
Connect with Welcome team to learn names, addresses of new neighbors.
May-December: Slower time frame for treasurer, limited support needed. 30 minutes of prep for board meetings, monthly balance of checkbook.
Management of Expenses:
Utilities: Electricity and Water/Sewage are set-up as electronic payments
ProScape: Electronic monthly payment for landscaping services. Need to check PO Box for separate snow removal services.
Insurance: Paid 1 time per year, via check
Board Approved Reimbursements: Check issued from checking account upon board approval, receipt captured electronically
